Coastal Carolina University is currently accepting applications for the following position: CINO & Mail Services Assistant Manager in the CINO Card Office.

The position will assist with managing and overseeing the daily operations of the department. This may include managing and training staff, providing excellent customer service to students, faculty, and staff, and handling any issues or concerns that arise. Overall, the employee plays a key role in ensuring the smooth functioning of these essential services for the university and community.

Operations Assistant II (AH74/61122802/PCLS202400175), full-time position with benefits. SC State Pay Band: 04. Salary range: $32,686.00 (minimum) to $46,578.00 (midpoint). Normal work hours are Monday through Thursday, 8:00 a.m. to 5:00 p.m., and Friday, 8:00 a.m. to 12:30 p.m. Must be flexible to meet the special scheduling needs of the university.

Duties

Duties include, but are not limited to:

Serves as a liaison between the department and the university to support campus partners, students, and families by demonstrating knowledge of department processes and procedures, facilitating clear and timely communication, and addressing all inquiries to promote collaboration and continuous improvement.

Navigates computer systems (e.g., CSGold, StarRez), works with diverse information systems, and conducts monthly reviews of supplies (including but not limited to card supplies).

Obtains the necessary certifications to process passport applications, responds to passport inquiries, and provides comprehensive information on passport procedures, including taking passport photos and serving as a passport acceptance agent.

Provides operational support for the department’s general operation. In the absence of the department supervisor, will serve as the acting supervisor.

Serves as the primary trainer for all staff and student staff, participate in training sessions and meetings to distribute information.

Qualifications

  • Required Qualifications: A high school diploma and work experience in collecting, scheduling, processing and reporting information in a data processing environment.

  • Preferred Qualifications: Experience with a university one card system is preferred, especially to those with a background in Cbord/CSGold.

  • Knowledge, Skills & Abilities: 
    • Knowledge: The knowledge of relevant information systems (e.g., CSGold, StarRez,); knowledge of a computer and Microsoft software and applications. Analyze and update departmental processes to meet evolving needs. Familiarity with customer service principles and practices. 
    • Skills: Strong communication skills to interact with students, faculty, and staff. Attention to detail for accurately serve our campus community. Organizational skills to efficiently complete and manage multiple tasks. Problem-solving skills to troubleshoot any issues that may arise. Teamwork skills to collaborate with colleagues in a fast-paced environment.      
    • Abilities: Ability to work independently and prioritize tasks effectively. Physical ability to lift and move heavy packages as required, up to 50lbs. Customer service abilities to provide a positive experience for recipients. Adaptability to handle changing volumes and schedules. Time management skills to ensure timely completion of deadlines
