Brief Description of Duties:
Under the direction of the Director of Student Financial Services, the Campus Card Representative will serve as the singular full time staff member of the Health Sciences Center ID Card Office, located in the HSC of Stony Brook University Hospital. The Campus Card Representative will be responsible for issuing University ID Cards to Staff, Faculty, Students, Visitors, Affiliates, and others. The employee will also be responsible for documenting and enforcing approved processes and procedures in compliance with local and state regulations and should possess experience working independently.  

  • Card Issuance:
    • Issue University ID cards and badges in accordance with University Policy, ensuring accuracy of data.
    • Use the University’s Lenel Access Control System to ensure that staff are receiving the appropriate level of access, and direct staff towards resolutions if the current access levels are not correct. This requires coordination with Access Control, University Police, and Hospital Security.
    • Coordinate with SBM’s Information Security and Patient Access offices to ensure that individuals with patient access responsibilities are able to access HIPAA-protected patient systems, and provide guidance where necessary. 
  • Orientations and Batch Printing:
    • Coordinate with Hospital and Veterans Home Human Resources and Volunteer offices to schedule weekly new-hire orientations.
    • Send out photo solicitation emails through Cloud Card or a similar program and subsequently batch print all cards for orientation groups.
    • Work with Schools and Departments to organize large new-student orientations, ensuring continuity of service during these times.
  • Office Management:
    • Serve as the primary point of contact for the East Campus ID office, overseeing and scheduling all necessary staffing, meetings, supply orders, and coordination with the Student Financial Services Office. 
    • Act with independence to resolve customer complaints, escalating to management only where necessary.
  • Child Protection Act:
    • Work with populations on the East campus to ensure that events and departments hosting minors on campus are appropriately credentialed.
    • Explain Child Protection requirements to departments and event coordinators, ensuring they understand the appropriate steps to receive credentials.
  • Equipment Oversight:
    • Ensure all required equipment (High volume ID printers, iClass/Prox scanners, etc.) are in working order.
    • Schedule preventative maintenance as necessary with contracted vendors.
    • Inform management of any equipment issues which may become work stoppages.
    • Maintain and secure equipment inventory.
    • Maintain and secure inventory of blank proximity cards.
  • Other duties as assigned.
