The Website includes articles and information which the National Association of Campus Card Users ("NACCU") believes will be of interest to its users. Some of the articles and information have been developed by NACCU.  Other articles and information are provided by third-party sources. NACCU cannot ensure that information it provides is accurate, exhaustive or complete on every subject or that it will necessarily include all of the most recent information available on a particular topic. You are solely responsible for use of and reliance on this information. NACCU Data Protection and Privacy Policy

1. Introduction

The National Association of Campus Card Users (NACCU) believes it is of utmost importance that information we may collect or store to deliver resources and services to our members is done so in compliance with legal requirements.

NACCU is required to process relevant User Data regarding members, staff, volunteers, prospective members, and vendors and service providers as part of its operation and shall take all reasonable steps to do so in accordance with this Policy.

NACCU is committed to the lawful treatment of personal, sensitive, and commercially sensitive information.

2. User Definitions

NACCU must collect and use certain information about our members and others we come into contact with (Users) in order to carry out its work. A User is defined as the individual whose personal information is being stored or processed by NACCU.

These Users include, and are not limited to:

  • Representatives at NACCU member institutions
  • Representatives at NACCU corporate member organizations
  • Individuals who register to attend NACCU conferences and live or online events
  • Individuals at corporate organizations who register to exhibit or sponsor at NACCU events
  • Individuals who attend related industry events, such as user group meetings or outside associations’ conferences and events.
  • NACCU employees and volunteers

3. Collection of User Data

In order to provide services to its Users, NACCU collects certain types of data from them. This section will describe how data is collected and used by NACCU as well as geographical differences that affect this policy.

Only relevant data that NACCU needs to know will be collected. NACCU will be clear why it wants the information and how it will be used.

During a User’s registration as a member of NACCU and during registration for NACCU events, information such as name, company name, email, address, telephone, credit card number, and other relevant data is requested. This information is used by NACCU to identify the User and provide them with support, services, mailings, sales and marketing actions, and billing.

NACCU Users can at any time access and edit, update, or delete their contact details by logging in with their username and password to NACCU’s website.

User Data may include data from individuals received by or manually entered by a NACCU User into their account or on other platforms managed by NACCU including the following. Each of these Data Controllers will have their own Privacy Policies and NACCU bears no responsibility for data stored by these entities; only for how NACCU collects and stores data once we export from these platforms. Please review Privacy Policies prior to using these platforms.

Novi AMS – stores NACCU website and member data, including membership renewal and event registrations. All data provided by Users through Novi AMS will be stored exclusively in secure hosting facilities provided by Microsoft Azure. Privacy Policy 

Question Pro – stores NACCU evaluation and survey responses. The purpose of collecting User Data as part of a survey will vary depending on the survey. Privacy Policy

Constant Contact - bolts onto Novi AMS via API integration. Stores member email addresses. Privacy policy

MapD – stores exhibitor booth registration data. Privacy Policy

Google – used by volunteer committees to share documents and complete forms. Privacy Policy

NACCU or its committees may use additional third-party services occasionally. Any time you are directed to an outside source, please review the website’s Privacy Policy prior to entering data.

Once User Data is exported by NACCU from any of these third-party services, it is stored on NACCU’s servers managed by OnSite Technical Services and Microsoft OneDrive, and available to NACCU staff through secure and encrypted remote connection.

As a service to its members, NACCU allows members to post career opportunities. NACCU does not collect personal information from job applicants, nor process their applications. NACCU is not responsible for privacy practices of the institutions that post job openings on the NACCU website. 

Credit card numbers and payment account details are never stored.

All User Data must be collected and retained in accordance with this Policy, whether gathered and stored online, on a computer hard drive, on paper, or otherwise recorded.

4. Sharing User Data

NACCU may share User Data with service vendors or contractors only if necessary to provide a requested service or transaction to our Users.

In addition, we may request your approval to share User Data related to event registrations with corporate Exhibitors, or to publish User Data on our website in an Attendee Roster. In these cases, you will be asked to opt-in with your consent during event registration.

NACCU has an agreement with AVISIAN Publishing to provide member email addresses so that members receive some of their publications, including CampusIDNews, as part of NACCU membership benefits. Privacy Policy

5. Data Processing

NACCU’s policy is to protect and safeguard any personal information obtained by NACCU in accordance with United States state or federal laws governing the protection of personal information and data. Accordingly, NACCU adheres to practices and policies that aim to safeguard the data.

Processing in Canada

For Users who register to attend Canadian events, you may be required to register using a Canadian institution’s payment portal and processor. In this case, the institution’s Privacy Policy will be in effect for registration and processing of payment. Canadian attendee User Data may be shared with and stored by NACCU for the purposes of communication, evaluations, surveys, and marketing NACCU membership. User data may also be shared with conference exhibitors, upon acceptance of User agreement.

Processing in Europe

For Users with accounts located in Europe, all processing of User Data is performed in accordance with privacy rights and regulations following the EU Directive 95/46/EC of the European Parliament and of the Council of 24 October 1995 (the Directive), and the implementations of the Directive in local legislation. From May 25th, 2018, the Directive and local legislation based on the Directive will be replaced by the Regulations (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of User Data and on the free movement of such data, known as the General Data Protection Regulation (GDPR), and NACCU’s processing will take place in accordance with the GDPR.

Processor and Controller

NACCU processes User data both as a Processor and as a Controller, as defined in the Directive and the GDPR.

6. Website Visitors

Visitors to our website should understand that by visiting the NACCU website, you consent to the collection and use of your Visitor Data as described herein. If required by applicable law, we will seek your explicit consent to process Visitor Data collected on this website or volunteered by you. Any consent will be entirely voluntary. However, if you do not grant the requested consent to the processing of your Visitor Data, the use of this website may not be possible.

NACCU may collect, record and analyze information from Visitors to its website. We may record your IP address and use cookies. NACCU may compile information collected by way of pageview activity. Furthermore, NACCU may collect and process any User Data that you volunteer to us in our website’s forms, such as when you register for events or sign up for information and newsletters. If you provide NACCU with your social media details, NACCU may retrieve publicly available information about you from social media.

Such Visitor Data may comprise of your IP address, first and last name, your postal and email address, your telephone number, your job title, data for social networks, interest in NACCU products, and certain information about the company you are working for (company name, services, and contact information), as well as information as to the type of relationship that exists between NACCU and yourself.

NACCU gathers data about visits to the website, including numbers of Visitors and visits, Geo-location data, length of time spent on the site, pages visited, and how you accessed the NACCU website, using Google Analytics. Privacy Policy

Purpose of Processing Visitor Data

NACCU uses the collected data to communicate with Visitors, to customize content for Visitors, and to improve its website by analyzing how Visitors navigate its website.

Sharing Visitor Data

NACCU may also share Visitor Data with service vendors or contractors in order to provide a requested service or transaction or in order to analyze the Visitor behavior on its website.

Cookies

Cookies are small pieces of information sent by a website to a Visitor’s hard disk. Cookies cannot be used to run programs or deliver viruses to your computer. By continuing to visit the website, you agree to the placement of cookies on your device. We may also place cookies from third parties for functional and marketing purposes. The use of cookies benefits the Visitor.

Links to other sites

Please be aware that while visiting our site, Visitors can follow links to other sites that are beyond our sphere of influence. NACCU is not responsible for the content or privacy policy of these other sites.

7. Retention and Storage of Collected Data

All User Data is stored securely and is accessed by authorized personnel only. NACCU implements and maintains appropriate technical, security and organizational measures to protect User Data against unauthorized or unlawful processing and use, and against accidental loss, destruction, damage, theft or disclosure.

NACCU will not retain User Data longer than is necessary to fulfill the purposes for which it was collected or as required by applicable laws or regulations.

When a User’s account is terminated or expired, all User Data collected through the NACCU website/database will be retained for a period of five years, during which time NACCU may contact the User in attempts to re-establish membership. You will have the opportunity to request to update or delete your data at any point should you need to do so by contacting the Data Protection Officer.

8. Policy Acceptance

We assume that all NACCU website Visitors and Users have carefully read this document and agree to this policy’s contents. We reserve the right to change our privacy policy for accuracy regarding third-party services, and continued compliance with the law. Continued use of NACCU website and related third-party services after having been informed of any such changes to these conditions implies acceptance of the revised privacy policy. This privacy policy was last updated on May 23, 2018.

9. Legal Obligation to Disclose Personal Information

We will release a User’s personal information without his/her prior permission only when we have reason to believe that disclosure of this information is required by legal authorities to establish the identity of, to contact or to initiate legal proceedings against a person or persons who are suspected of infringing rights or property belonging to NACCU.

NACCU Website Accessibility Statement

NACCU is committed to ensuring digital accessibility for people with disabilities. We are continually improving the user experience for everyone and applying the relevant accessibility standards.

Web Accessibility Goals

NACCU’s website is hosted by Novi AMS, an Association Management Software (AMS.) Therefore, NACCU does not have full access to our website’s source code and design choices, giving us limited ability to meet WCAG standards. We are working with Novi AMS to meet WCAG standards.

NACCU takes the following measures to ensure accessibility of the NACCU website:

Web Content Accessibility Guidelines (WCAG)

The Web Content Accessibility Guidelines (WCAG) defines requirements for designers and developers to improve accessibility for people with disabilities. It defines three levels of conformance: Level A, Level AA, and Level AAA.

WCAG 2.1 AA – Novi AMS Responsibilities

The Novi AMS team has identified 100% conformance with the Web Content Accessibility Guidelines (WCAG) as a goal that they would like to strive for and work to maintain. It is an internationally recognized set of guidelines that many organizations strive for. 

There are 86 goals listed within the WCAG 2.1 AA Guidelines. Currently, the Novi templates fully achieve 82 of those. Novi is in the process of working towards the remaining 4 recommendations. Novi is also committed to quarterly audits of the product and standards in commitment to upkeep compliance.

Technical specifications

Accessibility of the NACCU website relies on the following technologies to work with the particular combination of web browser and any assistive technologies or plugins installed on your computer:

Limitations and alternatives

Known limitations for NACCU.org:

  1. Uploaded images: uploaded images may not have text alternatives. Please report to office@naccu.org if you encounter an issue.
  2. Uploaded documents: might not work with current assistive technologies if they use outdated technologies that do not support accessibility. We convert documents to new formats upon request when possible within 5 business days. Please contact office@naccu.org for support.
  3. Videos: NACCU videos may not include closed captioning. We convert videos to new formats upon request within 5 business days. Please contact office@naccu.org for support.
