Card System Data: Keeping it Clean!

As data becomes more and more valuable as a tool to evaluate operations and conduct service assessments, many card offices struggle with maintaining a clean database to include only currently enrolled students or currently employed faculty/staff. Another challenge within the operations is determining when and how to appropriately reconcile active card status with active enrollment or active employment. Let’s discuss what factors should be considered when an individual separates from our institution and what processes/procedures should be in place to ensure clean and accurate data within the card system.

Discussion Questions: 

  • What constitutes “cleaning” out the card systems?
  • What process do you utilize to keep data in the card system current?
  • What is your process/procedure for when a student graduates or simply doesn’t return to campus the following year/semester?
  • When faculty/staff terminate or separate from the institution, do you remove their data?
