Stanford will discuss, from idea to conception, how they approached implementing a custom online photo upload tool to allow affiliates to upload their favorite photo for use on their Stanford ID Card.
This presentation will cover the complete timeline including initial conversations, requirements gathering, testing, implementation, lessons learned, and statistics related to this project.

Workshop Attire

There is no official dress code. You'll see everything from flip flops to full business suits. But most attendees wear business casual attire. You probably want to bring a light jacket or sweater to sessions with you in case meeting rooms are chilly. Wear comfortable shoes for the campus tour.

Mount Holyoke College will provide a bus to transport attendees between the Hotel Northampton and the campus.
On campus parking:
If you plan to park a vehicle on campus, please contact Lowell Adkins at  Parking permits will be available from the Campus Police station.  You need to obtain a permit before you park on campus.

Event Locations

All events are on the Mount Holyoke College campus except the reception, which will be at the Hotel Northampton. There will be transportation from the hotel to the College each morning in time for breakfast and from the College to the hotel after the campus tour on Tuesday and after lunch on Wednesday.

A bus will depart from the hotel for the College each morning at 7:30am and at 8:15am  It is an approximately 20 minute trip to the campus.

The on-campus events for the Mt Holyoke workshop will occur at the Willits-Hallowell Center.  The Morrison Room will be the primary space used for registration, meals, exhibits, and the sessions with the exception of the concurrent session on Tuesday morning, which will be in the Andreola Room.

Visit the Mount Holyoke Library, Science Complex, Student Center and Card Office, including card access, security, historic architecture, and more. Wear comfortable shoes.

Reconciling, Auditing and Program Awareness

Our card program had been handled by different entities over the course of a few years until it landed with our Student Union. At that time, the students’ accounts had never been reconciled to the transaction system of record.

During the course of auditing all postings for several years’ worth of transactions, we discovered discrepancies and had to resolve the issues. It was imperative, then, to create a new system of processes to properly handle our Central Cash deposits and vendor payments.

In August 2012 Memorial University implemented a successful upgrade to its Campus Card transaction systems, switching from a chip based system to a database system using the magnetic stripe. Partnering with Students to Build a One-Stop Service Centre

In 2013 the University of Alberta opened the doors to a Service Centre that married all the great services that the Students' Union provide thorough their InfoLink program with all the convenience that the University's ONEcard program provides. This unique partnership allowed three different departments to collaborate and lend their unique strengths to deliver an outstanding campus service. This session will go into detail on what was needed to make this a successful partnership and participants will be given a copy of the business plan. Some time will be spent giving an overview of the centre itself and the unique location that houses this service.

University of Calgary UNICARD Launch

In 2013, the University of Calgary introduced a more robust multi-purpose campus card for students, faculty and staff, moving away from the old ‘ONEcard’ to the new ‘UNICARD’. The Ancillary Services marketing and communications unit drove all of the project logistics and engaged the institution’s central University Relations team to help prepare the launch campaign. This presentation will cover the scope of the project, objectives and outcomes, ‘war-stories’ and lessons learned, and a review of the creative approach used to introduce the new card to the campus community.
