Business Operations Administrator
New York Law School, founded in 1891, is a freestanding institution with approximately 1500 students in its full- and part-time J.D. Programs.
New York Law School seeks a Business Operations Administrator. The Administrator will be responsible for the One Card System project which is currently underway. Blackboard has been chosen as the vendor and the expectation is that the System will be implemented in conjunction with the New Building Project and ready for operation by the end of 2008. The administrator will play a key role in the successful implementation of a One Card System that will be used as for ID Cards, Security Access, as a Debit Card in our Cafeteria, Dining Room & Bookstore, and for copying/printing on copiers/printers available for student use in our Library. Since this is a new position, the duties and responsibilities will be periodically reviewed and reassessed. Some of the current duties will be absorbed into the One Card System once the new building is open and the System is in place.*
The Administrator will coordinate the planning and implementation of a One Card System and manages the daily operation of the System, including development of procedures, account reconciliation, budget preparation and troubleshooting.* The Administrator will provide administrative assistance to the Office of Business Operations. Prepare and distribute weekly dining room and cafeteria menus and catering schedules; prepare dining room payroll deduction and departmental chargeback reports. The Administrator will coordinate the annual Student Copy Card Distribution & programs cards as needed. Coordinate book orders and compiles book list. Provide primary telephone support for Business Operations and relief for console operator as needed. The Administrator will report to the Assistant Vice President of Business Operations. The preferred hours for this position is 10:00 a.m. to 6:00 p.m. Monday through Friday.
The Administrator will perform the following functions:
ONE CARD SYSTEM*
1. Works with the One Card Committee, the Implementation Team, the Vendor and key stakeholders on the planning and installation of a One Card System.
2. Assists in the development and implementation of One Card policies and procedures.
3. Maintains control/procedures for all operations & locations, including daily system management, equipment maintenance and troubleshooting.
4. Maintains inventory records on all One Card System equipment.
5. Assists in the production of marketing materials related to the One card System.
6. Generates reports and disseminate information as needed.
7. Reconciles and produces accounts payable and accounts receivable reports related to the one card system.
8. Assists with the development of annual budgets related to the One Card System.
9. Trains staff members on various aspects of the One Card System as needed.
GENERAL
1. Provides administrative support to the Office of Business Operations and contract services as needed.
2. Maintains and updates Business Operation files and records.
3. Reviews & distributes monthly postage and duplicating chargeback reports; updates forms as needed.
4. Provides Primary telephone support for Business Operations and relief for Console Operator as needed.
5. Assists AVP with special projects.
6. Related duties as required.
DINING & CATERING SERVICES
1. Maintains dining room/catering records.
2. Prepares and distributes weekly dining room and cafeteria menus, weekly dining room and catering schedules, and annual catering expense report.
3. Prepares and processes weekly dining room payroll deduction reports and departmental chargebacks for Payroll and Accounting.
BOOK ORDERS
1. Coordinates Book Orders with the Book Store Manager.
2. Compiles book list for Book Store and Library.
COIN OPERATED COPIERS
1. Coordinates annual student copy card distribution.
2. Maintains copy card distribution and usage lists.
3. Maintains and programs copy cards.
Requirements:
BA or BS in business administration or information systems or equivalent experience. Experience with an enterprise wide card systems or comparable programs. Demonstrate excellence in oral and written communication skills, customer service, business and financial skills. Demonstrate ability to work independently, organize complex projects and handle detailed work. Flexibility with job duties and responsibilities; a team player. Proficiency in Word/WordPerfect, Excel and Database Management.
Preferred:
Experience with a One Card System implementation and/or experience with Blackboard Systems a plus
Experience with BANNER and/or Hyperion Reporting System a plus
